How do I manage reservations and walk-ins in the Table Management app?

FAQ: Commonly Asked Questions about the App

  • Reservations
    • How do I enter a phone reservation or add one manually?

      Tap the plus symbol in the Reservations tab, select party size, date, and time, then enter guest info and confirm.
      The reservation will appear in your calendar instantly.

    • Can I still book a reservation if we’re fully booked or at capacity?

      You can manually override the system by tapping “Ignore Business Hours & Capacity Settings” before confirming the reservation.

      This allows you to bypass the usual limits and add the reservation anyway.

    • How do I cancel a reservation?

      To cancel a reservation, simply tap on it in the Table Management app and select “Cancelled” from the status dropdown.
      If the reservation includes an email address, a cancellation email will be sent automatically. Once cancelled, the reservation will be removed from your list.
    • How can I update the status of a reservation?

      Tap the reservation in the Reservations section, open the Status dropdown, and choose the appropriate status.
      Your changes will save automatically. If you mark it as Cancelled, the guest will receive a cancellation email (if an email is on file), and the reservation will be removed from the list.

    • How do I edit a reservation after it's been added?

      Go to the Reservations tab and tap on the reservation you want to edit. Then, tap Edit to open the View/Edit Details page.
      From there, you can update the guest’s information as needed.

    • Can staff still seat walk-ins even if reservations are blocked off?

      Yes — staff can manually add walk-ins to the waitlist or seat them at any time. Reservation blocks won’t prevent this if tables are available.
  • Waitlist & Seating
    • How can I see how long each party has been waiting?

      Go to the Waitlist tab — wait times are shown next to each party and update automatically.

    • How do I add bar seating to the waitlist or floor plan?

      Go to Edit Floor Plan, then open the Bar tab. Drag and drop the bar onto the floor layout, and you’ll be able to assign parties to bar seating from there.

    • How do I delete a room or section from the layout?

      To delete a room, go to Edit Floor Plan and remove all tables in that room first. Then tap Edit Room, tap the pencil icon next to the room name, and select Delete.
      To delete a section, go to Sections, tap the pencil icon, and then tap Delete.

    • Can I assign tables to specific servers or sections?

      Go to Edit Floor Plan, tap a table, select Edit, choose a section from the dropdown, and save.
      Or go to Sections, tap a section, then select tables or bars to assign.

    • Where can I add notes to a party or reservation?

      You can add notes in two ways: use the Description field when creating or editing a reservation — these notes will be visible on the SpotHopper platform. For internal notes, use the Add Server Note option for both waitlist and reservation parties.
